Property Administrative Assistant

Location: Cincinnati, OH

Pay Rate: $20 - $22 per hour

Employment Type: Contract-to-Hire

Parking: Paid

Shift: Full-Time

About the Role:

LHH Recruitment Solutions is seeking a Property Administrative Assistant for our client in Cincinnati, OH. This role is essential to supporting the Property Management Team and ensuring smooth day-to-day operations. The ideal candidate will have strong Excel skills, excellent organizational abilities, and a great personality to foster positive relationships with tenants and clients.

Key Responsibilities:

Provide full administrative support, including phone coverage, typing reports, filing, and distributing correspondence.

Schedule and coordinate meetings and special events as requested.

Assist with lease administration activities, including tenant contacts and insurance information; generate reports.

Prepare and coordinate bid proposals, service contracts, and approved invoices; assist in the bidding process and ensure compliance with company policies.

Prepare and code invoices for Property Manager approval.

Maintain office supplies and ensure the office is well-stocked.

Ensure accurate completion of contracts and certificates of insurance in contract administration software.

Track and file contracts and insurance certificates; maintain follow-up systems for expirations.

Monitor and maintain the property maintenance work order system; prepare monthly reports for Property Manager on tenant work orders.

Maintain the property purchase order system and lease/contract files.

Promote and foster positive relationships with tenants and clients; track service calls as required.

Assist with monthly and quarterly management reports and annual budget preparation.

Process management and maintenance staff hours, tenant bill-back invoices, expense reports, meter readings, and check requests for review and approval.

Requirements:

Experience: Previous administrative experience in property management or related field preferred.

Skills:

Strong Excel skills are a must.

Excellent organizational and time management abilities.

Strong communication skills and a professional demeanor.

Ability to work independently and manage multiple priorities.

High school diploma or equivalent; additional education or certifications a plus.
