Executive Assistant

We are seeking a highly organised and proactive executive assistant to support a busy company director based in Ireland. This role is ideal for someone who thrives in a fast-paced environment, can manage multiple priorities, and brings strong administrative discipline to keep operations running smoothly. As a valued member of the team, you'll play a pivotal role in managing communications, coordinating tasks, and ensuring that nothing slips through the cracks.

Responsibilities:
  • Provide timely reminders and follow-ups on critical tasks and emails
  • Manage the director's calendar and schedule follow-up calls and meetings
  • Export staff hours from internal systems and format them in Excel
  • Share timesheets with the company accountant on a regular basis
  • Distribute client documentation (e.g., training records) from cloud storage systems
  • Support light social media activity by posting pre-supplied content
  • Offer occasional assistance with LinkedIn content or engagement
  • Maintain an organised workflow and communicate clearly on outstanding actions
Qualifications and Experience:
  • Minimum of 3 years' experience in an administrative or executive support role
  • Proficient with cloud-based tools (e.g., Google Drive, Dropbox, etc.) and Microsoft Excel
  • Strong communication and time management skills
  • Demonstrated ability to manage reminders, follow-ups, and multiple deadlines
  • Basic knowledge of social media platforms, particularly LinkedIn
  • Highly organised, self-motivated, and detail-oriented
  • Reliable internet connection and your own laptop
